Overview
Pocket Living are recruiting for a Team Coordinator to support their Operations team to ensure smooth running of the team, reporting, systems, and processes.  Previous experience within property is essential for this position and ideally working for a residential  developer.

Scope
  • To ensure the smooth operation of the team through the various systems and processes that are in place.
  • To ensure that all actions for all meetings relevant to this role are closed out.
  • To identify and implement solutions to ensure the efficient operation of the team.
  • To work with other departments within the organisation where required and when your role necessitates.
  • To be an important source of information and guidance on behalf of the Operations team.
  • Identify and arrange team CPD sessions.
  • Manage the various forums which occur on a quarterly and six-monthly basis.

Key Functions

Reporting Functions
  • Monthly Construction Board: Attendance and production of reports, trackers, agendas, checklists and actions generally.
  • Monthly Director Management Board: collate the information from the team to produce the report for this meeting and distribute.
  • Operations Quarterly Review: Production of agenda, coordination for the meeting and provision of updates generally.
  • Programming of Management Project Review meetings and production of reports, trackers, agendas, checklists and actions generally (but not the project content as this will come from the Development Managers)
  • Management of the tube map, project dashboard and corresponding checklists to ensure that all teams are using the correct checklist corresponding to the work stage at all times.
  • Check and administer all insurance matters for projects and Operations generally. To include renewals and management of live insurance policies, and insurances for new land acquisitions.
  • Administer building warranty providers and general documentation.
  • Management of Operations wide filling system.
  • Management/assistance with operations processes and procedures.
  • Creation / assistance with new guidance memorandums as required.
  • Management of Consultant and Contractor rating system for the Operations team.
  • Management of external security providers as required.
  • Management of external consultants where required including arranging the 6 monthly feedback sessions with each. To also include assisting in the sourcing of replacement consultants when required.
  • Management of the Mechanical & Electrical Forum and QS Forum: Production of agenda (with technical assistance from the team), coordination for the meeting, provision of updates generally, and circulation of actions.
  • Collate and monitor changes to agreed forms of consultant appointments.
  • Track Development milestones and assist Project Leads with any admin tasks associated with milestones.
  • Track discharge (and ownership within the team) of planning conditions for all projects.
  • Organise meetings as required internally/externally.
  • Work with Delivery Director, Head of Construction, and Director of Development as required.
  • To assist with any other tasks as requested.
