Job Summary

Our client, a leading consultancy firm specializing in retail development projects across South Africa, is seeking a Retail Leasing Administrator to join their dynamic, Pretoria based team. As a Retail Leasing Administrator, you will play a pivotal role in supporting our leasing team and ensuring smooth operations within our retail development and existing projects. You will be the go-to person for tenants, providing administrative assistance and facilitating leasing activities.

Acting as the primary point of contact for tenants, addressing inquiries and providing assistance as needed, the role entails comprehensive leasing management responsibilities, beginning with meticulous preparation of leasing contracts and documents, ensuring prompt filing, processing, and communication of changes, and facilitating timely signatures from landlords and tenants. It involves obtaining FICA documentation and regularly updating lease agreements and renewals. Managing lease terminations and deposit billing, providing administrative support until tenants complete payments and occupation, are key tasks. Additionally, assisting in obtaining shop layouts and signage proposals, attending leasing meetings, preparing statistical reports, and coordinating with the Property Management team on renewals and installations are integral aspects of this role.

The ideal candidate will hold a minimum qualification: Matric (Grade 12), with a leasing or property related qualification being preferred. At least 5 years of administrative experience in a property environment, with a focus on contract administration. Proficiency in using MDA/Broll online system for lease management along with strong MS Office skills, including Word, Excel, and PowerPoint. Excellent communication and interpersonal skills. Ability to prioritize tasks, manage multiple deadlines, and work effectively in a fast-paced environment. Detail-oriented with a high level of accuracy in documentation and record-keeping. Proactive attitude and willingness to take initiative. Ability to work independently as well as part of a team.
